Chapter one · The 20:00 problem

Most portal leads arrive when the office is shut.

A portal enquiry lands as an email. It turns up after eight in the evening, or on a Saturday, and by Monday the buyer has usually moved on. The reply lag is the lever.

61% of 2,071 portal leads in one agency's sample were never contacted at all. Not late. Never. Enquiries sitting in an inbox until they stopped being worth ringing.

925 of the 2,071 said they wanted to buy within 0 to 3 months. They ticked the box on the portal. They were telling somebody they were ready.

£152k was the median listing they asked about. Not trophy villas. The everyday stock your office sells week in, week out, to people who want an answer tonight.

18to35 days later, buyers still reply to a casual "still looking?" A cold lead on the coast is rarely dead. It is waiting for someone to ask.

Chapter two · What it refuses to do

Chapter three · The hand-off

Then it gets out of the way, and leaves notes.

  1. Re-engages. Within seconds of the portal email, or weeks later on the leads that went quiet, on WhatsApp from your number. SMS if there's no WhatsApp.
  2. Answers. The usual questions, from what you've told it. Anything it wasn't given, it says so and writes it down.
  3. Qualifies. When they're next over, budget, holiday home or move, cash or mortgage, who's coming. One question at a time, the way you would.
  4. Hands off. A lead sheet lands on your agent's WhatsApp: why it's handing over, how hot, what they asked about, trip dates, budget, purpose, finance, must-haves, what it couldn't answer, a suggested first move and the full transcript. Your person takes it from there.
